Salary: 17-18/hr

Administrative Assistant (HR/General Office) (Part-time 10a - 2p) (M-F)

Pay $17-18/hr depending on experience

The Administrative Assistant performs a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities. This role provides administrative support to the human resources department as well as front office support.

Human Resources Support includes:
  • Posts approved temp/contract to hire positions with staffing partners, screens resumes and forwards qualified candidates to hiring managers/supervisors, follows-up with managers/supervisors and schedules interviews, follows-up after interviews, relays feedback to staffing agencies and initiates background checks/drug screens on selected candidate and coordinates start dates. Prepare Hiring Process Form for approvals.
  • Maintains temp excel spreadsheet and update HR management of pending staffing activity for the weekly HR report.
  • Reviews and approves staffing invoices (ensures hours billed and rates are correct).


Front Office Support includes:
  • Role may be asked to work in the reception area to ensure that visitors are greeted, maintains sign-in sheets, sets-up the welcome visitor board, etc.
  • Collects and distributes incoming mail and operates the postage meter for outgoing mail.
  • Monitors the office supply closet and orders office supplies. Orders office related supplies requested by department managers/supervisors as well as monitors/orders (coffee, water and related supplies for the main conference room and break room). Ensures both areas are properly stocked. Orders first aid supplies as needed.
  • Assists with the coordination of visitor meetings to include stocking the main conference room, ordering and setting up lunch and updating the welcome sign.


Requirements:

High School Diploma High school diploma or GED equivalent required plus 1-2 years' experience as an administrative assistant in similar environment. Additional coursework in office technology or human resources preferred. Must be proficient in use of Microsoft Office Suite including Word, Excel, and PowerPoint. Working knowledge of office equipment required. Must be able to type at least 45 - 50 wpm, possess excellent time management skills and ability to prioritize work; great attention to detail, excellent written and verbal communication skills and strong organizational skills with the ability to multi-task. Must be professional, proactive and self-motivated with an ability to take direction.
