Essential Job Duties:
The Temporary Executive Assistant serves as the administrative support and program management assistant. The role is responsible for supporting leadership that oversees multiple divisions, each with a wide range of complex needs. This position will maintain a high level of knowledge of the programs, activities, goals, priorities, and commitments of leadership and will serve as a project/initiative manager for key strategic initiatives. The position will proactively anticipate the business needs of the divisions and their leadership, implementing solutions to keep operations running smoothly. The position will also exercise a high degree of independence and accountability in their work, and will be required to demonstrate exceptional judgment and discretion in all aspects of the role.
Other Work/Responsibilities:
Primary Responsibilities include:
+ Serving as the official representative of senior leadership, requiring professional and diplomatic interactions with internal and external stakeholders, including faculty, staff, students, parents, and university administration.
+ Relieving leadership of administrative and program management matters that do not require their direct attention.
+ Exercising considerable independence in managing administrative details in alignment with organizational objectives and priorities.
+ Assisting with special projects such as strategic planning, communications, policy reviews, and compliance with system-wide mandates.
+ Drafting, editing, and proofreading executive communications sent on behalf of leadership.
+ Managing appeal programs and processes, including coordinating hearings, preparing correspondence, and communicating with relevant stakeholders.
+ Overseeing the leader’s calendar, scheduling meetings based on knowledge of responsibilities, priorities, and divisional needs.
+ Maintaining both electronic and hard-copy filing systems that ensure logical organization, functionality, and easy retrieval of documents.
+ Supporting committees by tracking memberships, preparing correspondence, scheduling, documenting, and coordinating logistics.
+ Utilizing technology tools to effectively administer programs and initiatives, including the Google and Microsoft application suites.
Additionally, this position requires balancing close attention to instructions with initiative in identifying opportunities for efficiency and process improvement. As part of the team, this role may also include additional duties that contribute to the overall efficiency and workflow of the division.
