Student Affairs Coordinator

Job Summary:

The Office of Student Affairs Coordinator is responsible for supporting key initiatives and functions within the Offices of Student Affairs and Student Engagement. They manage the planning of Signature Student Events, including vendor management, purchasing, and logistics coordination. They provide high-level administrative support to the Senior Director of Student Affairs through project coordination, information management, communications, and calendar management. The coordinator will also serve as a member of the Student Engagement Team and share responsibility for staffing the student affairs office and student events, coordinating purchasing for the student professional development program, and other initiatives.

Essential Responsibilities:

+ Administrative Coordination: provides high level support to the Senior Director of Student Affairs on assigned tasks, duties, and special projects to execute initiatives and/or projects for the Offices of Student Affairs and Student Engagement including but not limited to annual reporting, program evaluation, strategic planning, and team development.

+ Signature Student Events: coordinates the planning for KPSOM Signature Student Events such as Welcome Event, White Coat Ceremony, Match Day including vendor management, purchasing and event communication.

+ Student Professional Development Funding Program: coordinates student travel and purchasing for the Professional Development Program.

+ Calendar Management: manages calendar for Senior Director of Student Affairs.

+ Student Engagement: assists in the coordination and staffing of Office of Student Engagement Programming.

+ Regularly collaborates with internal partners such as the Deans Office, Offices of Academic and Faculty Affairs, Community Engagement and Government Affairs, Medical Education, Inclusive Excellence, Information and Technology, Facilities, Procurement, Human Resources, Sim Center and Marketing and Communications.

+ Communications: maintains internal OSA media database and identifies media to utilize for social media and other digital or print communications.

+ Special projects and there duties: other related administrative functions, projects, duties and responsibilities may be assigned as deemed necessary.

Basic Qualifications:

Experience

+ Minimum three (3) years of work experience with working in higher education setting.

+ Minimum three (3) years of experience event planning, program coordination, project management, or related experience.

Education

+ Bachelors degree OR four (4) years related experience.

+ High School Diploma.

License, Certification, Registration

+ N/A

Additional Requirements:

+ Ability to work outside of traditional 8-5 hours to accommodate student availability for meeting and events.

+ Ability to manage multiple projects concurrently.

+ Ability and willingness to work flexible hours to support activities of the office, including some evenings and weekends.

+ Ability to establish and meet short term, mid-range and long-range goals and objectives.

+ Ability to work effectively with a diverse population of students, faculty, staff, and external constituents.

+ Excellent communications (oral and written) skills

+ Excellent interpersonal skills necessary for working with a diverse organization and for creating influence with individuals at all levels of the organization

+ Proficiency with common office software (e.g. Word and Excel)

Preferred Qualifications:

+ Bachelors or Masters Degree in Student Affairs or higher education administration.

+ Four (4) to seven (7) years experience working in professional or medical education.

+ Four (4) to six (6) years of experience in event planning, program coordination, or project management.
