Assistant Property Manager

  • Support the Senior Property Manager in ensuring smooth daily operations and an exceptional workplace experience across the property
  • Assist with tenant deployment and move-in processes, including milestone tracking, check-in scheduling, and risk reporting
  • Maintain distribution lists including customer, emergency, vendor, and leasing contacts
  • Create and distribute weekly work-in-progress reports covering project schedules and key deadlines
  • Code and process invoices accurately and on time using the accounts payable workflow system
  • Assist with aging reports and monthly accounts receivable collection efforts
  • Prepare tenant statements, ledgers, and charge documents
  • Support monthly variance reports and quarterly investor reporting
  • Prepare and distribute lease administration forms for commencements, expirations, and move-in/move-out processes
  • Receive, enter, and monitor work orders through the web-based work order system
  • Coordinate building services including janitorial, security, and landscaping
  • Maintain records for purchase orders, service contracts, and certificates of insurance
  • Support amenity rollouts, workplace experience initiatives, and tenant communications
  • Handle general administrative duties including phones, guest reception, deliveries, and office supply management

Qualifications

  • Bachelor's degree preferred
  • Minimum 2 years of experience in a commercial real estate property management role required
  • Proficiency in Microsoft Office (Outlook, Word, Excel, Teams, SharePoint) and Adobe
  • Experience with Yardi or similar commercial real estate software required
  • Experience with Cove or similar work order systems a plus
  • Ability to read and interpret general ledgers, operating statements, vendor contracts, and purchase orders
  • Strong organizational skills with the ability to multitask in a fast-paced environment
  • Polished, professional, and proactive with strong written and verbal communication skills
  • Valid driver's license with proof of insurance
