We are seeking an organized and detail-oriented Supply Chain Administrative Assistant to support the purchasing, ordering, tracking, receiving, and shipping of spare parts for industrial equipment. This entry-level opportunity is ideal for someone who enjoys administrative work, is comfortable communicating with vendors and customers, and is eager to learn a new industry. Previous supply chain or parts purchasing experience is a plus but not required—we are willing to train the right candidate!
Responsibilities

Assist with customer inquiries related to spare parts, service, and installation support.

Support the identification and ordering of replacement parts, ensuring accurate information is entered into the company’s ERP system.

Prepare purchase orders and coordinate with vendors to obtain pricing, availability, and lead-time information.

Maintain and update vendor price lists and purchasing information in the ERP system.

Research alternative suppliers and assist with vendor communications as needed.

Track purchase orders and follow up with vendors to ensure timely delivery.

Assist with inspecting incoming deliveries for completeness and potential damage.

Prepare outgoing shipments, ensuring the correct parts and materials are included and properly packaged.

Maintain accurate inventory and purchasing records.

Move throughout the warehouse as needed to open boxes, pack and unpack parts, and assist with receiving and shipping activities.

Provide general administrative support and assist other departments with additional projects as assigned.
Qualifications

Previous administrative, customer service, purchasing, inventory, or supply chain experience is preferred but not required.

Strong organizational skills and attention to detail.

Comfortable making phone calls, communicating with vendors, and following up to obtain information.

Basic proficiency with Microsoft Office, including Excel.

Strong written and verbal communication skills.

Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.

Self-motivated, adaptable, and eager to learn new products, systems, and industry processes.

Comfortable performing occasional physical tasks, including moving around the warehouse, opening boxes, and packing or unpacking parts.

Ability to work fully onsite in Manassas, VA, Monday through Friday, from 7:30 AM to 4:00 PM.
