**Pay Range:** $34.89 - $50.63 per hour

**Summary:**

The Award Setup & Maintenance Specialist 1 is an integral part of the Rush University Sponsored Program Financial Management (SPFM) team in the Sponsor Program Office within the Office of Research Affairs (ORA). The Office of Research Affairs (ORA) serves as the institutional home for research administration and oversight, dedicated to promoting, facilitating, advocating for, and supporting all research activities conducted across Rush. The Award Setup and Maintenance specialist 1 supports the accurate establishment and maintenance of sponsored research awards in Workday. This entry-level role assist with award data entry, documentation review, and basic award modifications under the guidance of senior staff. This position develops foundational knowledge of sponsor terms, institutional policies, and award lifecycle processes while ensuring data accuracy and compliance.

**Required Job Qualifications:**

• Bachelor’s degree

• 0-2 years of experience in administration or finance operations

Knowledge, Skills, & Ability:

• Demonstrated proficiency with word processing, spreadsheet, and database software (MS Office skills such as Outlook, Wod, Excel, PowerPoint, Sharepoint)

• Strong organizational skills and attention to detail

• Strong interpersonal, verbal and written communication skills required.

• Exceptional attention to detail and ability to maintain confidential information required

• Ability to work successfully both independently and in team settings

• Excellent time management with ability to prioritize task as needed

• Willingness to learn new methodologies, tools and techniques

• Flexible work hours and travel may be required

**Preferred Job Qualifications:** -

• 1-2 years of experience in sponsored research administration or post-award operations

**Responsibilities:**

• Assist with the setup of sponsored awards in Workday based on award documentation and established templates.

• Enter award and project data into Workday following established SOP’s.

• Assist with setup of internal awards and pilot projects.

• Route awards for review and approval following institutional workflows.

• Process routine award modifications for Incremental funding, No-cost extensions (NCE), Budget revisions and/or Administrative changes (PI, department, reporting requirements).

• Maintain accurate award records and documentation.

• Follow established procedures to ensure award data aligns with sponsor and institutional requirements.

• Perform data validation and quality checks prior and correct data inaccuracies in systems as necessary.

• Send standard award expiration notifications to the PI, department administrators, and Institutional Post Award team.

• Respond to routine inquiries from Post Award Administrator.

• Escalate complex sponsor terms or discrepancies to Senor staff.

• Collaborate closely with Sponsored Programs Administration (SPA), Institutional Post Award Administrators, and Research Administration leadership.

• Participate in training and professional development activities.

• Other duties as assigned.
