Executive Assistant

We are looking for an effective, enthusiastic, and driven Executive Assistant to join our energetic and fast paced team to provide high-level administrative and project support. This position reports directly to the Corporate Vice President (CVP) of Product for the Artificial Intelligence (AI) Platform in the Microsoft Cloud + AI (C+AI) organization. As an Executive Assistant you will work closely with the Chief of Staff (CoS) and lead a team of Business Administrators to create an inclusive culture and positive work environment for the team. You will be a point of contact for internal and external constituents including customers, partners, and media. The Executive Assistant will interact with all levels within Microsoft and serve as a key liaison between the AI Product team and other executive teams.

Candidates should have excellent interpersonal skills along with the ability to work independently and professionally with all levels in the organization. You should be resourceful and able to deal with ambiguity, possess solid project management skills, be able to work effectively under pressure and within short time constraints, prioritize while multi-tasking, and be flexible in the performance of the job responsibilities.

**Responsibilities**

+ Manage a complex executive calendar and ensure accurate scheduling and strategic prioritization of appointments.

+ Make decisions on behalf of the Executive and CoS to ensure meeting requests align with management priorities.

+ Work closely with CoS on Rhythm of the Business (ROB) processes, ensuring tight coordination of Executive and Team commitments.

+ Arrange domestic and international travel, including flight itinerary, hotel, logistics and conference registration.

+ Submit accurate and timely expense reports for the Executive, and act as interim approver on all team expense reports, ensuring coding and cost center accuracy.

+ Partner and cross-collaborate with AI Platform Administrative team as well as many parts of the C+AI organization, including Human Resources, Recruiting, Corporate, External, & Legal Affairs and Finance.

+ Manage ongoing updates to team aliases, Employee Central and physical team space.

+ Event planning including scheduling and logistics for all town halls, offsites, and morale events.

+ Help create a fun team environment aligned to the team culture through oversight of the physical space, events, services, and engagement.

+ Mentor team of Business Administrators.

**Qualifications**

**Required/Minimum Qualifications:**

+ 5+ years Administrative or Business Support experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive level management.

+ Experience with administrative and business management tools such as Microsoft Office Suite, Informa, and SharePoint.

**Additional/Preferred Qualifications:**

+ Experience with Microsoft products and internal tools such as Microsoft Office Suite, Employee Central, iCIMS, MSSpace, MSExpense, MSTravel, MyOrder, MSInvoice, MSAuthorize, Informa, and SharePoint.

+ Possess planning, organizational, time management and judgement skills.

+ Possess excellent problem-solving skills and attention to detail.

+ Consistently demonstrate the ability to be a team player.

+ Embrace challenges with appropriate urgency and professionalism.

+ Demonstrate excellent anticipatory and communication skills.

+ Work quickly in a fast-paced environment and take initiative when seeking out opportunities.

+ Work collaboratively with administrative teammates within and outside the organization.

+ Demonstrate a high level of integrity and the ability to handle confidential information appropriately.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $27.40 - $46.49 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $37.84 - $52.98 per hour.
