Customer Service Rep UCC

The Customer Service Representative performs clinic clerical tasks, such as registering patients, relieving staff members of clerical work and minor administrative and business details by scheduling appointments, giving information to callers, reading and routing incoming mail, filing correspondence and other records, and other assigned clerical duties.

• Make and check off appointments as directed by guidelines. Cancel and reschedule appointment as necessary. Print appointment schedules for physician, physician assistant, and/or nursing staff

• Call and remind patients of their appointments the day before the appointment. Within the limits of medical practice policy, give routine instructions in preparation for patient's visit to the office

• Greet incoming patients and verify appointment scheduled, insurance, and other medical record information as required

• Contact no show appointments and document appropriately

• Maintain a patient treatment schedule consistent with the needs of practice

• Provides general clerical support functions to ensure efficient utilization of time, in part by scheduling meetings, patients and appointments; maintaining calendars; coordinating with other clinical services

• Operate switchboard to relay incoming, outgoing, and interoffice calls

• Return calls for the physician; handle patient request calls (e.g. prescription refill requests) and Pharmacy calls as instructed by the nurse, physician extender and/or physician

• Produce clinic correspondence to facilitate on-going communications and efficient clinic operations

• Maintain accurate and complete patient files including patient demographics and insurance status

• Collect fees and co-payments when the patient checks-in at the front desk, this may include processing credit/debit card transactions. Double check collection of co-payments & payments on balances, and note payment amount on encounter form. Give patient a receipt

• Verify and keep records on incoming purchases. Duties include receiving, unpacking, verifying and recording incoming correspondence or material

• Maintain appropriate levels of office supplies and other materials to allow staff to complete assigned responsibilities and provide for patient needs by submitting approved purchase requisitions

• Performs other duties as assigned by management

• Perform housekeeping duties of assigned area by routine and periodic cleaning, and maintain order and cleanliness throughout the clinic


High school diploma or equivalent preferred


Clerical experience in a hospital, physician practice, clinic, nursing home or insurance agency is preferred
