Corporate Outreach Coordinator

Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices. Oversees the daily functions and provides general management for the Division of Hospital-Based Medicine (HBM). Actively supports the Hospital's and the department's Continuous Quality Improvement and customer service goals individually and as an effective team member.

1. Coordinate with the Director of Corporate Outreach physician recruitment activities ? Lead and direct the set up of interviews ? Complete and process, new hire, documentation requests (contracts, all HR forms, OHS requirements/forms, credentialing paperwork) ? Monitor and follow-up with new hires for all requested documentation ? Oversee new hire departmental orientation. ? Direct the day-to-day recruiting activities, questions and problems as they occur 2. Develop and maintain good working relationships with key personnel in Lurie Children's Medical Staff and Managed Care Department offices and maintain strong relationships with existing and new outreach partner hospital Medical Staff offices to facilitate credentialing processes through frequent e-mails and phone calls. 3. Ensure physicians' compliance with staff privileges, licensure, faculty appointments, credentialing, MYR's and medical staff responsibilities at Lurie Children's and Outreach Hospitals. 4. Work with FPP and the billing company to ensure physicians are current and in compliance with required credentialing and billing information. 5. Assist in the development, maintenance and enforcement of relevant policies and procedures for Division of HBM physicians. 6. Coordinate and develop the monthly partner hospital program invoicing. 7. Oversee the continuing medical education (CME) accounts for all eligible physicians (track and process CME requests & reimbursements, purchase CME materials/equipment, etc.). 8. Coordinate, with the Director of Corporate Outreach, the work load/flow of the Departmental Administrative Assistant. 9. Composes correspondence, reports and other documents; prepare PowerPoint presentations for Lurie Children's Senior Leadership meetings. 10. Manage all aspects of payroll ? Processing through ETA payroll for all Division of HBM physicians, ? Tracking of physicians' contracted hours ? Processing PTO ? Processing Bonus payouts ? Review payroll reports for accuracy and resolve issues as they occur 11. Assist in the development of departmental budgets. Process and track check requests, invoice payments. Monitor, verify and reconcile expenditure of budgeted funds. 12. Coordinate meetings, prepare agendas, minutes, presentation materials and meeting packets for: ? monthly, bi-monthly or quarterly Joint Practice Meetings with each of our Partner ? quarterly Site Leadership Meetings ? semi-annual All Staff Meetings 13. Maintain department office equipment & supplies; process all office supply purchases; initiate computer hardware/software and office equipment purchases. 14. Compile, track and maintain data relevant to the department; produce statistical and financial reports as requested. 15. Organize and maintain calendars for Administrator and Directors. Answer department main phone line and respond to inquiries/issues/problems as appropriate. Receive, review and respond to department mail as appropriate.

1. Some post-secondary education required; Bachelor's degree preferred. 2. Minimum of three to five years of progressive management support to a physician group practice or hospital environment. Experience in project management and planning preferred. 3. Understanding of financial budgets and reports, knowledge of hospital information systems and an understanding of data management and data analysis. 4. Excellent leadership skills, ability to work with teams, excellent oral and written communication skills, as well as strong analytical ability and organizational skills. Ability to prioritize tasks and work with interruptions. 5. Extensive knowledge and experience working with Microsoft applications such as Word, Excel and PowerPoint as well as the ability to operate standard office equipment.
