What does an Office Coordinator do?

Office Coordinator responsibilities include scheduling appointments on multiple agendas, preparing property files and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools such as MS Office programs. Bilingual in Spanish is a plus, but not a requirement. If you also have previous experience in a mortgage office, title company, or real estate field, we'd like to meet you.

Ultimately, a successful Office Coordinator should ensure the efficient and smooth day-to-day operations of the office.

Responsibilities

• Answer and direct phone calls

• Organize and schedule appointments on multiple calendars

• Create property files, manage and schedule associated tasks

• Write and distribute emails, letters, faxes and forms

• Assist in the preparation of property flyers and advertising

• Update and maintain Social Media sites: FaceBook, MeetUp, Craigslist, etc.

• Order office supplies and research new deals and suppliers

• Update and maintain contact lists for multiple end users

• Act as the point of contact for internal and external clients

• Become proficient using software specific to our business such as Quick Books Requirements. Quick book knowledge is a plus.

• Every candidate must complete a Four Strengths Profile prior to interview this will be given to you by Express.

• Works well on a team

• Proven experience as an administrative assistant, virtual assistant or office admin assistant

• Knowledge of office management systems and procedures

• Working knowledge of office equipment, like printers and fax machines

• Proficiency in MS Office (MS Excel, MS Word, & MS PowerPoint, in particular)

• Excellent time management skills and the ability to prioritize work

• Attention to detail and problem solving skills

• Excellent written and verbal communication skills

• Strong organizational skills with the ability to multi-task

• Ability to follow instruction and take action without constant supervision

• Spanish speaking is a plus, but NOT a requirement
