We are currently seeking qualified candidates for a Document Management Coordinator position that will be based in our HR Shared Services Contact Center department. This position is based in Altamonte Springs, FL.

The Document Management Coordinator is responsible for processing routine HR transactions including, but not limited to, the receipt, data entry, scanning, and indexing of documents. This position prepares outgoing correspondence and informational packages. Follows established procedures and escalates transactions to the Document Management Supervisor, as necessary, to address customer needs sufficiently.

Specific job duties include:

  • Scans, indexes, and classifies employee documentation utilizing imaging software for retention in electronic employee files
  • Receives and processes incoming inter-office and postal mail (removes mail from envelopes, date stamps, reviews contents, and identifies appropriate area for processing)
  • Enters data into the Human Capital Management system as required
  • Assembles and distributes outgoing mail utilizing standard procedures
  • Updates tickets in the case management tool upon receipt of documentation and escalates tickets to HR Strategic Administration for case resolution
  • Supports answering of phone and email-based human resources, payroll, and benefits inquiries from employees; Applies documented call scripts, procedures, policies, knowledge database, and other reference materials to assist in answering employee inquiries, as needed

Experience Requirements:

  • Minimum of one year of experience in a Human Resources team environment required




Education Requirements:

  • Associate's degree or equivalent work experience in a Human Resources team environment required




Attributes:

  • Basic web navigational and computer skills required
  • Knowledge of Human Capital Management (HCM) system, especially PeopleSoft, preferred
  • Proficiency in Microsoft Office Suite preferred
